Zela Entertainment LLC operates ZELABOT and zelarobot.com. This policy explains how we handle information collected through our website and communications about Zela’s appearances and collaborations.

1. Information you provide

Our inquiry form collects your first and last name, email address, phone number, and message. You may also provide an event date, event location, company name, and other details you choose to include. We also receive information you provide when contacting us by email or phone.

Please do not include payment-card numbers, government identification, medical information, or other sensitive personal information in the inquiry form.

2. Website information and cookies

Our website is hosted by Squarespace. Squarespace processes technical information needed to deliver, operate, and protect the site, including IP addresses and information about browsers and devices. Squarespace analytics helps us understand website visits and usage, such as pages viewed, referring websites, and approximate location.

Cookies and similar technologies may be used for website operation, security, and analytics. You can manage or delete cookies through your browser settings. Blocking some cookies may affect website features. Where cookie preference controls are displayed on the site, you can use those controls to manage the choices offered.

3. How we use information

We use your information to respond to inquiries, discuss availability, prepare quotes, coordinate appearances and collaborations, and maintain related business communications and records. We also use information to understand and improve our website, protect against spam and abuse, comply with applicable legal obligations, and resolve disputes.

4. Email updates and marketing

Booking inquiries and email-marketing subscriptions are separate. Submitting an inquiry does not automatically subscribe you to promotional emails. If you separately choose to receive Zela’s updates, we may use your name, email address, and subscription preferences to send news, appearance updates, and offers.

You may stop promotional emails using the unsubscribe link in a marketing email or by contacting info@zelarobot.com. Unsubscribing from marketing does not prevent necessary replies or communications about a booking you have requested. We will identify any additional marketing service and its relevant information practices in this policy when introduced.

5. Services that process information

Squarespace hosts the website, provides analytics, and processes inquiry submissions. Form submissions are managed through Squarespace, with email notifications sent to info@zelarobot.com. Microsoft/Outlook hosts our business email and processes inquiry notifications and correspondence. Read the Microsoft Privacy Statement.

Google reCAPTCHA helps protect our inquiry form from spam and abuse. It processes technical information for security checks and may set a security cookie. Google’s Privacy Policy and Terms of Service apply to that service.

Our website links to Instagram, TikTok, and Facebook. Their own privacy practices apply when you visit those services. We may also disclose information where required by law or reasonably necessary to address fraud, security incidents, or legal claims.

6. How long we keep information

Our standard retention period for inquiry and routine booking correspondence is one year after the last contact or completion of the event, whichever is later. Contracts, invoices, payment records, and information needed for legal obligations or disputes may be retained longer for those purposes.

Email subscription records are kept separately while you remain subscribed. After you unsubscribe, we may keep a limited record of your opt-out to help prevent further promotional messages. Retention applies to relevant website records and email copies; deletion is managed through our recordkeeping process rather than guaranteed to occur automatically on an anniversary date.

7. Your choices and requests

You can contact us to request access to, correction of, or deletion of your personal information, or to ask about its use. Depending on your location and applicable law, additional rights may apply. 8. Security and processing locations

We use service providers to support the operation and security of our website and communications. No website, storage system, or electronic transmission can be guaranteed completely secure. Our business is based in the United States, and our providers may process information in the United States and other countries where they operate.

9. Children and event guests

Our inquiry form is intended for adults arranging appearances or collaborations. A parent, guardian, or adult organizer should contact us for an event involving children. If you believe a child has provided personal information without appropriate permission, please contact us.

This policy concerns website and inquiry information. It does not grant permission to photograph or record event guests. Any event photography, recording, or event-specific data collection must be addressed separately.

10. Updates and contact

We may update this policy as our services or practices change. The effective date identifies the current version, and we will provide additional notice where applicable law requires it.
